Therap Staff Scheduling
The Therap Staff Scheduling module allows an agency to effectively manage the work hours of its employees by creating weekly schedules. Using this flexible module, you will be able to create schedules for staff members working across multiple programs whose schedules vary widely from week to week just as easily as for staff members in both day and residential programs whose work pattern is fairly consistent.
The module is divided into two sections: Master Program Schedule and Weekly Program Schedule. Besides creating Weekly Program Schedules for particular employees, you will be able to create and save Master Program Schedules that can be used as templates to create Weekly Program Schedules for the staff members whose schedules do not vary much from week to week.
You can create a master schedule by doing the following:
- Start by selecting the New link in the Master Program Schedule area on your FirstPage.
- Select the appropriate program, create an appropriate schedule name, and designate the length of the schedule (one or two weeks).
- Define one or more time slots by specifying begin and end dates, time slots, and the number of employees included in each shift.
- You can include staff members working the same fixed hours from week to week to a time slot by selecting them from a list of people who have access to the program. It is also possible to add staff members that are not on the list of authorized users to the Master Program Schedule. If a staff member is scheduled for more than 16 consecutive hours or a total of 40 hours, the system will display a warning.
Before Master Schedules can be used to create weekly schedules, they must be Approved by an authorized user.
Weekly Program Schedules can be created with or without using a Master Program Schedule template.
- Start by clicking the New link in the Weekly Program Schedule area on your FirstPage and select your program.
- You can select a Master Program Schedule to use as a template. If you are using a template, you will have the options to add, update and remove previously defined time slots on the schedule. While updating time slots, you will be able to update the begin and end dates, time slots, and the number of employees included in each shift.
- If you are creating the schedule without the help of a template, you will have to specify one or more time slots, specifying begin and end dates, time slots, and number of employees. You will be able to add employees to a slot by selecting them from a list of employees with access to that program. Staff members who do not have access to the program can also be added to a slot.
Like Master Program Schedules, Weekly Schedules must be approved by authorized users before they can be used. The application is linked with the Therap Calendar application. Staff members in a program can view their own schedules as well as their coworkers’ schedules in their calendars.

The Staff Scheduling Walkabout
You can download the Staff Scheduling Walkabout from the Therap website. This is a useful tool to learn how the module works. Designed as a four-level game, the Walkabout will take you through the processes of creating master and weekly program schedules.
The four levels include the creation of both weekly and master schedules, as well as creating a weekly schedule without the aid of a previously approved template. You will also see how the module interacts with the Therap calendar. The interactive Walkabout will guide you every step of the way with tips and hints and score your moves.
