Dear Users,
Therap is happy to bring to you Version 8.2 of Therap applications. We have been constantly working to provide increased flexibility to our system based on feedback from our users. Many of these have been incorporated in this release and users can look forward to a further improved system with significant enhancements to some of our major modules such as Secure Communications, Billing and Medication Histories among others.

Here is a quick list of what's new in Therap 8.2

The SComm module has significantly been enhanced with a completely new look, additional features and improved usability:
Simplified SComm Message Types:
  • General: Messages not specific to an individual will fall under this category. This may be used for personal or administrative messages.
  • Individual Care: 'Individual Care' type messages are those which contain Individual specific information. Messages of this type may include Individual's Protected Health Information.
  • Therap Customer Support: This type may be selected to send SComm messages to Therap Customer Support, such as questions, feedback among many others.

Recipient Auto Completion: While composing a message, as a user types the recipient name or title in the recipient box, an auto completion drop down list will appear with matching names.
Send SComm by Title: SComm messages can now be sent by users' titles.
Improved Filter Options: Filters are now easily visible and available for every folder. Messages can be filtered by SComm message type, notification level and status of the SComm.
Save Recipients as a Group: When sending an SComm to a group of people, the recipients can be saved as a Custom User Group instantly from the sent message confirmation page.
Pin a Message: To flag or highlight a particular message in various folders, the new ‘Pin’ feature will be a very useful feature for users. All such flagged messages can be easily found by clicking on the ‘Pinned’ filter or from Advanced Search.
Normal Search: A new search option is now available for each folder. Any message(s) not older than sixty days, can be found using this search option. Search criteria are limited to sender's name, recipient's name and message summary.
Advanced Search: This can be used to search for messages not older than two years. Search criteria available for this feature are message date, type, status, content, subject as well as the sender’s or recipient's names.
Printable Version: Users can now print SComm messages using the new print feature.
Auto Expiration for Inbox and Sent Items: To determine how long messages will stay in the ‘Inbox’ and ‘Sent Items’ folders, now users can set their SComm preferences from their ‘My Profile’ page. Available options are two weeks, one month and two months.
Auto Delete from Trash: Users can also edit their settings in ‘My Profile’ page to determine when SComm messages from Trash will be automatically deleted. Users can select either 'after one week' or 'never'.
SComm Access Control: Provider Administrators can determine the level of SComm access for a user. Users can be provided with full access, limited access (Individual Care+Assigned User Group) or no access.
Improved Custom User Group: The group member (recipient) selection can now be done by Program and/or user Title while creating a new Custom User Group.
Share Therap Customer Support Messages: Messages sent by Therap Customer Support can now be forwarded to other users within the agency.
Documentation: You can read the Quickguide, or view the Automated Training by T-Girl on the new SComm. This way you get to see the screenshots and get familiar with the updates!
Therap and College of Direct Support are both powerful tools for the improvement of the quality of care that agencies in the Developmental Disability field provide. While Therap manages data for agencies of all sizes, College of Direct Support has been actively empowering and developing the workforce of this industry. They have an elaborate collection of materials and tools that help organizations get their staff trained and certified.
Now, the mutual customers of Therap and CDS can enjoy some additional benefits. We are now working on what are call the Therap-CDS bridge, and with this release we are releasing the first feature, which we hope will mature and grow with your suggestions and help.
Now, the Therap Provider Administrator of agencies who also use CDS, can go into the Provider Preferences section, and easily turn this feature on (right now, its at the very bottom of that page).
Service Authorizations:
  • Users can now put restrictions on the number of units that can be used per day/week/month/quarter. A warning message will be shown in the Billing Data form if units more than the maximum specified is entered in a specific period.
  • Billing Data can be collected from Service Authorizations in Pending Approval state so that DSPs can continue to record Billable units while the Authorization is being processed.
  • When using the 'Copy and Create New' feature in Service Authorization, users can change the Program. This will be useful when individuals are transferred from one program to another.
  • Users can specify Cost Center in Service Description Code. This cost center is copied across all Services and eventually to all the Billing Data linked to the Description Code.
  • Service Authorization Low Unit Notification has been added for each Service. Previously it was applied to the cumulative units per Service Authorization.
  • Users will be able to upload a single file in the Service Authorization Form.
  • Users can add more than one Service with the same Description Code having different unit rates in a Service Authorization.
Billing Data:
  • New Unit Calculation method has been added for Kansas Targeted Case Management service. This can be configured by adding Rounding Algorithm when creating Service Authorizations.
  • A warning message is provided if "Total number of units" is not the same as the summation of units in the time log.
Professional Claim:
  • Providers in Texas using Professional Claims will be able to generate the CLASS (Community Living Assistance and Support Services) form directly in PDF format. An additional field called "Internal/Category Code" has been added in the Service Description Code form which is displayed in the CLASS form.
  • Users can get monthly excel reports based on Cost Centers, Programs, Individuals and Services.
Institutional Claim:
  • "Number of Units/Days" is automatically calculated from the Statement Coverage Period date range in the Claim Generator Form.
  • Users can now create a Claim directly from a Template (without using the claim generator).
  • A new section has been added for Value Information.
Attendance:

  • Users can add multiple Time In/Out for each day.
  • Service Provider can be recorded with each Time In/Out information.
  • There can be up to 10 Attendance Options per Attendance Type.
  • Users can enter Attendance Comments of up to 350 characters.
  • Users can get a summary of all Attendance information from "Attendance Data Summary".
  • The Attendance Statistics report is available in Excel format.
  • Users will be able to add only the Time In and later on record Time Out.
  • A new Detail Excel Report is now available for each individual with date, time in/out, units, service provider among others.
  • Daily and Monthly Bundling Rules can be specified in Attendance Type. The number of units after applying the bundling rule can be seen in the Detail Excel Report.
  • The same comment can be applied when creating multiple Attendance Data.
  • A common header has been added to all the pages of the Attendance PDF Report.
The look and feel of all GER lists (such as GER Worklist, Approve and the others) have been enhanced for better usability.
After an action is performed on a GER, and a user returns to that list from where the GER was opened, the GER will still be available in that list. The row corresponding to the updated GER on the list will no longer be in bold, indicating that an action has been performed on the particular form. The form will be removed from that list and the count updated, once the user returns to the FirstPage/Dashboard.
Counts for GER Lists on a user's FirstPage/Dashboard will remain for up to 3 months, after which they will be removed even if the required action(s) have not been performed. Users will be able to locate these GERs using the 'GER Search' option available.
Fields that include the time for any GER list, such as the Event Date, will now be shown in the preferred time zone of the user, instead of the Program specific time zone. Users may set this preference from under their 'User Profile' section.
The 'Profile' section now includes the Site Name. Redundant fields such as 'Provider Name' and 'Entered By' have been removed from this section as these fields are already displayed at the top of the GER.
In accordance with state requirements, three new questions have been added to the Colorado State Form. These new questions address observation specific to the incident, previous history of occurrence of the behavior, and chances of repetition in future.
Integration with drug database:
Medication History and MAR are now integrated with the industry standard drug database from First DataBank. First DataBank provides some of the world's most comprehensive and trusted drug knowledge bases. This integration significantly enhances both MAR and Medication History modules by providing users with easy access to relevant drug information including Drug Image, Drug Identification, Dosage Information, Precaution, Drug Disease Contraindications, Side Effects, Monographs and many more. This will lead to better individual care, improved clinical decision making, and will substantially lower the risk of medication errors.
The new 'Drug Lookup' option in Medication History will allow users to refer to the First DataBank drug database for detailed information on a medication. This also makes data entry much easier and faster. In MAR, users will be able to find the same detailed information for those drugs which were entered using the 'Drug Lookup' option in Medication History.
Individual Centric Medication History:
Medication History is now more Individual centric. Users with the appropriate Health Tracking (HT) Roles on an individual, will now be able to access all Medication Histories entered for the particular individual under any program.
Users will no longer need to re-enter Medication Histories when an individual moves from one program to another. If appropriate roles are assigned, users may directly change the program names in the respective Medication History forms.
Users can now generate Medication History Reports containing data from all the Programs a particular individual is enrolled in, irrespective of whether the user has access on the other programs.
Report
  • A completely new report function has been added to the Personal Finance module. This makes report generation extensively customizable with options for selecting any combination of Transaction related fields. To easily generate a report, users can now select and change the Program and the Individual from the same report page.
  • A list of all the accounts associated with the selected Program and Individual is provided in the Report Criteria section. This lets the user select a set of accounts to be included in the report.
  • Users can now select almost any combination of fields like Transaction Date Range, Transaction Type, Deposit Category, Expense Category, Account Type, Account Status and so on as Report criteria.
  • This Report function also provides the flexibility of selecting only a specific set of fields to be included in the Report. A list of all the fields associated with Accounts and Transaction are provided in this section to let the users select only those fields required for the Report.
Transaction
  • Both the Deposit and Expense entry sections of the Transaction page have been merged together for faster data entry and ease of use. This also ensures that the system records the order of transaction entries and in the balance sheet, the same order is maintained.
  • Editing an old Transaction is more flexible in this new version. Users will now be able to edit a transaction at any time within one year of the date of Transaction.
  • Providers can now create their own list of Account Type, Card Type and Unit Type.
ISP Plan:
While updating an Approved ISP Plan, users can now specify whether the update is an 'Addendum' or a 'Six Month Review'. An additional date field is also provided in the Update Summary section to record the review date. The PDF version of an updated ISP Plan will include the Addendum/Review summary at the top.
Terminologies in the Delaware ELP have been customized further to match with Delaware specific requirements.
ISP Program:
From the ISP Report section, users will now be able to generate a template for the IRA Residential Habilitation Daily Checklist, an essential tool for the HCBS Waiver Service Documentation. This template takes all tasks from a selected set of ISPs and put those as Staff Service/Action in the template. The template also includes a page for the IRA Residential Habilitation Monthly Summary Note. In addition, we have added two more templates for the OPTS IRA Residential Habilitation Checklist for both Supervised and Supportive setup.
Hab Plan:
Additional fields have been dropped from the Hab Plan module to make it more consistent with the NYS OMRDD recommended format.
Attachments Templates:
The Global Library now includes a third category in addition to the ISP and Custom Form Templates. This new category is quite flexible and will allow users to upload PDF and Word Documents among many other formats. This feature is particularly useful for sharing Policies and Procedures, Guidelines etc. Global Library provides a platform to collaborate on best practices, policies and procedures with Therap users across the country.
CaseLoad & Super Role Lists:
Provider Administrators can now generate a detailed report to view a list of users associated with any CaseLoad and Super Role.
Each entry in the CaseLoad list is now accompanied by a link to a report that includes the users assigned with the CaseLoads. This report will also contain the names of the Super Roles assigned to the user for the particular CaseLoad. The same report is available from the 'Create/Update CaseLoad' page as well.
Similarly, the Super Role list will have an 'Assigned to' link next to each entry. This link lets the Provider Administrators generate a report containing the names of the users assigned to each Super Role and the CaseLoads associated with it. The 'Update/Delete Super Role' page will also contain a link to this report.
Performance Optimization for Older Versions of Internet Explorer:
Therap Applications will now run smooth even on the older version of Internet Explorer (IE 6.0). However, we are likely to discontinue our support for this version of Internet Explorer later in the year. We highly recommend our users to upgrade to a current version as soon as possible.
Behavior Event/Interval Data:
For ease of documentation on the Interval Data form, behavior names will now reappear after a certain number of slots, so that these are visible on the screen even when users scroll to the bottom.
T-Logs:
Users will now find three new fields displayed when they click on the 'View Read Status' link of a T-Log. These fields are the Individual Name, the Summary and the date that the T-Log was entered on.
The T-Log 'Create' button has been renamed to 'Submit' for consistency.
To facilitate the T-Log search, a ‘Status’ column has been added to the search result page. Users can now search and identify T-Logs according to either ‘Submitted’ or ‘Deleted’ status.
